Board of Directors: Managing Director (or Vice Chair) (approx. 6-10 hours/wk on avg)

Duties:

  • Supervise the running of the organization
  • Stay informed about the activities of all committees at a general level
  • Follow up with committee chairs to ensure tasks are being accomplished and assistance is provided where necessary
  • Facilitate collaboration between committees
  • Correspond regularly with the DMDs
  • Pinpoint trouble spots and bring them to the attention of the XD
  • Participate in discussions about the goals and plans for DR
  • Collaborate with the other members of the XD to set the agenda for the board meetings
  • Participate actively in board meetings
  • Provide requested updates in a timely fashion
  • Prepare for and participate in discussions and votes
  • Review board meeting minutes
  • Assist in recruiting new volunteers for the organization, especially leadership
  • Assist in fundraising (spreading the word, organizing local events, etc.)

Board of Directors: Deputy Managing Director – Operations (approx. 3-4 hours/wk on avg)

Duties:

  • Assist the MD in supervising the Operations committees
  • Stay informed about the activities and plans of the Operations committees
  • Assist the Operations chairs with any problems that may arise
  • Maintain adequate records and files of the work
  • Correspond regularly with the MD
  • Participate in discussions about the goals and plans for DR
  • Participate actively in board meetings
  • Provide requested updates in a timely fashion
  • Prepare for and participate in discussions and votes
  • Review board meeting minutes
  • Assist in recruiting new volunteers for the organization, especially leadership

Administration Committee Chair (approx. 3-4 hours/wk on avg)

Duties:

  • Coordinate all administration- and human-resources-related tasks for DR
  • Create and maintain a calendar of important deadlines across DR committees
  • Supervise recruitment and induction of new volunteers
  • Supervise external correspondence on behalf of DR
  • Organize and maintain yearly calendar of admin goals and objectives
  • Maintain adequate records and files relevant to the work of the committee
  • Create written procedures for often occurring tasks
  • Manage the committee members
  • Delegate tasks
  • Follow up
  • Recruit new volunteers for empty positions on this committee, set-up, introduce and train new volunteers
  • Compose regular updates to the board on the work of the committee (3-4 times a year) and participate in board meetings

Administration Committee Correspondence/Internal Newsletter Coordinator (approx. 3 hours/wk on avg)

Duties:

  • Respond to e-mails arriving at the general info@dr.org address, seeking guidance where necessary or occasionally forwarding to the appropriate recipient
  • Write an internal newsletter, summarizing board meetings (including committee updates; based on minutes), introducing new volunteers, announcing resignations, and publishing other internal news from DR and its partners
  • Distribute the internal newsletter to all active volunteers
  • Attend all board meetings
  • Provide regular updates to the Admin. chair

Administration Committee Recruitment Coordinator (approx. 3 hours/wk on avg)

Duties:

  • Assist board and committee chairs with recruiting new volunteers
  • Request and gather information about vacancies from committee chairs and board
  • Post vacancies on our webpage and elsewhere (idealist.org, Craig's List, etc.)
  • Actively seek ways to recruit new volunteers
  • Develop recruitment tactics specific to the needs of each committee
  • Act as liaison between new volunteers and their respective committees
  • Work with partner sites (???)
  • Provide regular updates to the Admin. chair
  • Read internal DR newsletter or review minutes of DR board meetings

Development Committee Donor Relations Subcommittee Chair (approx. 3-5 hours/wk on avg)

Duties:

  • Strategize DR donor relations agenda to find new donors and to maintain current donors, working with relevant members of other DR committees (e.g. Marketing, Finance)
  • Oversee donor database maintenance
  • Oversee process of mailing of donor "Thank You"s
  • Collaborate with the Marketing committee on the writing and dissemination of DR's newsletter for donors
  • Oversee annual appeal letter process
  • Oversee other forms of fundraising, including potential partnerships with other organizations
  • Provide regular updates to the Development chair
  • Attend at least one board meeting each year

Development Committee Elite Donor Manager (approx. 2-4 hours/mth on avg)

Duties:

  • Build and maintain relationships with donors who give significant sums of money to Deep Roots, working closely with the Marketing and Finance committees
  • Strategize creatively about other ways to build relationships with donors as well as secure new elite donors
  • Open lines of communication with donors to discover what other actions might be taken to ensure they will give again and possibly increase their contribution
  • Provide regular updates to the Donor Relations Subcommittee chair
  • Attend at least one board meeting each year

Development Committee Appeal Coordinator (approx. 3 hours/mth on avg; 3-5 hours/wk in Nov./Dec.)

Duties:

  • Coordiante and organize DR holiday appeal letter
  • Coordinate past efforts of individual Country committees to develop one overall DR campaign, working with relevant Country committees and volunteers from the Finance committee
  • Work to increase number of contacts to whom annual appeal letter will be sent (during the rest of the year); e.g. other organizations, marketing campaigns, contact lists, etc.
  • Provide regular updates to the Donor Relations Subcommittee chair
  • Attend at least one board meeting each year
  • Read internal DR newsletter or review minutes of DR board meetings

Development Committee Outreach and Events Subcommittee Chair (approx. 3 hours/wk on avg)

Duties:

  • Set structures in place to organize and conduct successful fundraising events
  • Conceptualize an events strategy and establish short-term objectives
  • Draft guidelines for conducting successful events
  • Keep notes on past events, with tips and lessons learnt
  • Serve as main point person for events coordination and provide direct support as necessary
  • Coordinate individual events with relevant DR volunteers
  • Liaise with the Marketing committee to develop materials for events such as brochures, fact sheets, posters
  • Provide regular updates to the Development chair
  • Attend at least one board meeting each year

Development Committee Events Organizer (approx. 5 hours/mth on avg)

Duties:

  • Support the Outreach and Events Subcommittee chair to realize the objectives of the fundraising campaign
  • Assist in tasks as needed, primarily providing support to DR volunteers who are hosting events
  • Spearhead a number of events and become familiar with the various pieces that go into a successful event
  • Provide regular updates to the Outreach and Events Subcommittee chair
  • Attend at least one board meeting each year
  • Read internal DR newsletter or review minutes of DR board meetings

Development Committee Country Liaison (approx. 2 hours/mth on avg)

Duties:

  • Facilitate information exchange between the Development committee and Country committees
  • Provide regular updates of Development committee activities to designated volunteer on each Country committee
  • Relay requests, suggestions and comments from the Country committees to the relevant people on the Development committee
  • Provide regular updates to the Development chair
  • Attend at least one board meeting each year
  • Read internal DR newsletter or review minutes of DR board meetings

Finance Committee Budget Analyst (approx. 4 hours/wk during budgeting time; 4 hours/mth otherwise)

Duties:

  • Assist Country committees with creating budgets in a consistent format
  • Build and adapt budget template for use by each Country committee
  • Coordinate process of budget submissions, following DR's budget policy
  • Liaise between Treasurer/XD and Country committees to facilitate the budget review, editing and fund allocation process
  • Coordinate with the Treasurer and Bookkeeper to produce financial reports for internal or external use (for the Board meetings, the website, Development or Marketing committee requests, the Guidestar listing, etc.)
  • Provide regular updates to the Finance chair
  • Attend the board meetings where the new budget is discussed
  • Read internal DR newsletter or review minutes of DR board meetings

Finance Committee Bookkeeper (approx. 2 hours/wk on avg)

Duties:

  • Prepare donation deposits to the bank
  • Input all financial transactions into DR's accounting software
  • Maintain files on donor information and financial transactions
  • Reconcile bank accounts monthly
  • Prepare quarterly financial reports with assistance from the Budget Analyst
  • Prepare yearly tax reports to the IRS
  • Collaborate with the Treasurer to track payments out
  • Provide regular updates to the Finance chair
  • Read internal DR newsletter or review minutes of DR board meetings

Finance Committee Audit Facilitator (approx. 2 hours/wk until Dec.; then 4 hours/mth on avg)

Duties:

  • Research options for a free or inexpensive audit for DR, with a goal of a first audit shortly after Dec. 31, 2005
  • Walk through a free pre-audit with a volunteer, if only a paid audit can be arranged
  • Collaborate with the Bookkeeper and Treasurer to collect all relevant information and files for the audit
  • Assist the Bookkeeper and Treasurer in collecting and maintaining all relevant records throughout the year to facilitate the next audit

Marketing Committee Chair (approx. 10 hours/mth on avg)

Duties:

  • Coordinate all marketing-related tasks for DR
  • Oversee the development and distribution of all promotional materials, including a newsletter to be published 3-4 times a year
  • Review all external correspondence to enforce DR editorial standards
  • Collaborate with other committee chairs (especially Development and the Country committees) to field marketing requests and needs
  • Coordinate the development and maintenance of DR brand image and message through all media (web, print, presentations, etc.)
  • Create and maintain a yearly calendar of tasks for the Marketing committee
  • Maintain adequate records and files relevant to the work of the committee (possibly by using Yahoo! group file system)
  • Create written procedures for often occurring tasks

Marketing Committee Country Liaisons (approx. 4 hours/mth on avg)

Duties:

  • Become an expert and stay informed about the activities of the assigned Country committee; connect with the Country committee at least once a month
  • Update the program profile with the headcount numbers and other programming news
  • Work with the Country chair to gather photos, personal letters from scholars, etc., that can be used in the marketing of that particular program or of DR in general
  • Bring marketing requests from the Country committee (e.g. need for fliers, brochures, banners for specific fundraisers) to the rest of the Marketing committee
  • Write for newsletter, brochures, pitch letters, etc.
  • Participate actively in committee meetings
  • Provide regular updates to the Marketing chair

Technology Committee Coding Assistant (approx. 2 hours/wk on avg)

Duties:

  • Assist the Technology chair in implementing the webpage and other tools

Technology Committee Database/Webpage Content Maintenance Manager (approx. 2 hours/wk on avg)

Duties:

  • Develop and maintain a secure online database with donor information
  • Collaborate with database users in the organization to make it as user friendly as possible and assist them where necessary
  • Monitor the webpage content to ensure it is up-to-date and accurate
  • Ensure that outside links on the webpage work
  • Work closely with the rest of the committee to initiate implementation of necessary changes
  • Coordinate with other committee chairs to keep webpage content reflecting current activities
  • Participate in the development of new webpage content and edit pieces intended for the webpage and written by others before publication
  • Provide regular updates to the Technology chair

DRG Committee Guatemala Liaison (approx. 2 hours/wk on avg)

Duties:

  • Maintain regular contact with in-country administration with bi-monthly (at a minimum) e-mails and phone calls when appropriate
  • Ensure that in-country partner understands DR's goals and instructions regarding the distribution of funds
  • Ensure DRG understands in-country partner's needs and requests
  • Coordinate information gathering from in-country partner
  • Assist in resolving and preventing problems arising in the field
  • Provide regular updates to the DRG chair
  • Attend at least one board meeting each year

DRG Committee Marketing/Fundraising Liaison (approx. 2 hours/wk on avg)

DRN Committee Namibia Liaison (approx. 2 hours/wk on avg)

Duties:

  • Maintain regular contact with in-country administration with bi-monthly (at a minimum) e-mails and phone calls when appropriate
  • Ensure that in-country partner understands DR's goals and instructions regarding the distribution of funds
  • Ensure DRN understands in-country partner's needs and requests
  • Coordinate information gathering from in-country partner
  • Assist in resolving and preventing problems arising in the field
